Is this really mandatory?
Yes. Article 4 of the EU AI Act has applied since 2 February 2025 to every business that uses AI systems, regardless of size. Occasional use of chatbots or AI translators counts too. The regulation doesn’t prescribe a specific format; documented training is the usual way.
What happens if we do nothing?
The regulation currently doesn’t provide for a separate fine just for Article 4. The proof becomes important when something goes wrong: after a data breach, in liability questions or when an insurer or client asks how you trained your team.
Isn’t it enough to simply ban AI?
Rarely, in practice. Where AI is banned, it’s often used secretly with private accounts — and that’s exactly where data leaks out. If really nobody at your business uses AI, the obligation doesn’t apply. But do check the AI features in your office software too.
How long does the course take?
About an hour, split into 12 lessons. Everyone works at their own pace and progress is saved. Anyone who already knows the content can shorten the course with a knowledge test.
Who sees what my employees enter?
Nobody, because nothing is entered into an AI during the course. The business only sees who completed and when. Quiz answers are not evaluated.
Do we also need an AI policy?
Recommended. The course provides the knowledge; the policy sets out which tools are allowed at your business. The template above is meant for exactly that.
